Determining budget:
According to needs of clients and events, decide the budget which would be required to complete the event. It should be done before planning process as if this step is skipped you will be ending up with wasting your time for planning things which your clients can’t afford. Plan event according to the budget of your client sop that your efforts gets justified reward.
Understanding the needs of client:
Before starting with any of your preparation for the event, have a meeting with your client. It would be helpful for you to know all the needs of your client and you can also know what your client is expecting from the event. Make a rough plan to give idea to your client that what you are about to do and if he likes the plan then go for it.
Event designing:
Plan and design the complete event according to your clients and events need. Event designing involves the deciding of themes, décor, lightning, props, food and beverages, etc. once you create proposal of all the things discuss it with your client so that everything goes according to him. Also take note of the equipment’s and stationary required for the business event.
Arrangement for transportation and parking facilities:
It might be possible that hotel parking won’t be enough for parking all the vehicles. Take the idea of coming guest from the hosts so that you can make arrangements accordingly. If the event demands continuous to and fro of the vehicle to get materials than arrange for the transport also.
Coordinating with staff and volunteer requirements:
Coordinate with your staff and involve in all the steps of planning so that they would manage themselves and look after their work appropriately. If you feel that event demands for more manpower than hire volunteers who can cater to all your needs.
